3. Execute a task of a workflow

 
Tasks in BizzMine are indicated by the envelop icon. As soon as you click on it, you will see that the 5 most recent tasks are shown in a quick-view. Click on one of the tasks to execute them. If you want more details or you want to see all tasks; click on "all tasks" at the bottom of this quick view.

Tasks require you to complete a step in a workflow, the counter will not lower or disappear until you completed your tasks.

In the full task list overview you'll see that you have different columns. The first one (left), is showing you the due date if there was any due date assigned. If the colored dot is showing a blue color, you're not yet overdue. If it is red (as you see in the screenshot), then it's overdue! Next you see the subject of your task, the body (giving some more detailed info), the creation date of this task and also within which collection this has been made. Just as with list widgets, you have the option to search through this list. Group by different columns (drag the column you want to group on to the top).

You are also able to filter out only the open tasks, all closed tasks, all canceled tasks, all expired tasks and of course all the types together.

When executing a task in Bizzmine it is also possible to forward it to another user with a full user license. Forwarding tasks is limited to the users that have permissions to do so (you can find them in your collection permissions). To forward your task you can select the dropdown arrow next to the button ‘execute’ and then select ‘forward task’.
Remark: In case you don’t see the option ‘forward task’ this probably means that you don’t have the permissions to forward a task in this collection. Also light users aren’t able to forward tasks.

In the next pop-up window you have an organisation field at your disposal where you can select the person that needs to receive the task. You can start typing the name of the person or select the user manually from the organisation chart. It’s only possible to forward your task to 1 user. After selecting the user you also have to insert a reason why you are forwarding the task. Everything you fill in here will also be saved in the history of the record.

The task of the person that forwarded it, will be closed. While it will now be pending for the user that received it. This is also visually represented in the details of the flow status.

I receive tasks that are assigned to nobody, why?

If you receive tasks with the following message on top, then this means that there was no executor found for…

If you receive tasks with the following message on top, then this means that there was no executor found for that current task. This could happen when for example an executor should have been filled in in an orgazational item field, but this has been left blank (if it wasn't mandatory of course).

Other option could be that the user/function/department that had been assigned as a fixed executor for that step, has been deleted and thus BizzMine doesn't retrieve a valid user. In such cases, BizzMine will no longer assign the task to the deleted user/function/department but will first fall back on the managers of the collection. In case there are no managers of the collection we fall back on the global administrators and owners. There is always minimum 1 owner.

So if you receive tasks because of that reason, you might want to check or prevent this from happening again by changing your configuration in terms of executors on workflow level or by changing the mandatory state of your fields.
